Currently, you can have up to 10 DropDown Lists displaying on your screen at one time. (For those who have not yet tried DropDown Lists, it is a 'must-try' feature. A DropDown List is an always-on, always-active list of the contents of a designated folder. It allows you to place, with a single click of your mouse, any document or term into the active or a new document. No navigation required! Click here to read more about this powerful tool..)

For some authors, 10 is just not enough. There have been calls for 15 and 20 Lists. However, we have found when experimenting with the 'right number' that more than 10 becomes visually unappealing if not downright confusing on the eyes. 'Lists' also take up a lot of screen 'real estate.'

No, a different solution had to be found. And the suggestion for the solution came from a user. (Thanks, Rick!)

"Why not allow us to save the Lists that are currently displaying as a single group. I can then create another set of Lists which may be totally or partially different. Let me save that as well. Then each group can be successively called and recalled (and saved if changed). Only 10 will show at one time, but I'll have immediate access to many more." Great idea! Done!

So, if you need more that 10 DropDown Lists, the solution now exists. Save what you have as a 'Collection1'. Then, create a second group of Lists (perhaps for a different office function, for a different client, whatever) and save that one out as "Collection2'. As needed, switch between the two Collections in two clicks of the mouse.

This provides (at least for right now) 20 permanent DropDown Lists. (After beta testing we plan to allow up to 5 collections. But, will even that be enough . . .?)

This suggestion came directly from a user.  He asked for a one-click method to fully refresh all existing DropDown Lists.

The problem: Users may add documents to folders reflected by DropDown Lists with some regularity. This is especially so early in the process of developing a system based in Pathagoras.

Unless each 'refresh' each list as documents are added, the lists can easily became out of date. (The problem is worse in a network setting where the other users may not even know additions were made.)

Refreshing each list one-at-a-time was (understandably) tedious.  Hence, the request.

The 'fix' is in. Here are the simple steps:

  • 2003 and prior: Click DropDown Lists from the Pathagoras features menu. Click the 'Refresh All Lists' button toward the bottom of the overlay screen.
  • 2007: Click the Refresh button in the DropDown Lists section of the screen.

Rick,

Terrific idea!

I can envision how this will work. It will be a bit different from your precise request, but I think it will accomplish the end goal.

The 'solution' will be to let you save out the structure information regarding your current collection of lists to a file called let's say 'DDLCollection1". Then you reconfigure the DDLs to your liking, replacing some or all of the DDLs. Then save that as "DDLCollection2". (I don't know how many collections there ultimately will be, but let me start with 2.) I will have a menu that will allow you to select DDLCollection1 or DDLCollection2 as needed.

The timing of your request is actually quite remarkable. That is because the solution to Glenn's request (just before yours) provides the gateway to the implementation to your suggestion.

I would have said 'no way' to your suggestion if made last week. Now my response is 'give me a couple of days on this.'  I hope you will assist in the beta for this. (Anyone else who wants to beta, let me know.)

It would be useful to enable the user to assign all 10 drop down lists from a main menu that represents each possible folder or glossary. That way, one could change all 10 at once to use for a particular purpose. For example, when using the program, I would like 10 of the drop down lists to represent the body of my document for a specific purpose. Later, I would like to change the 10 drop down lists to be used for the conclusion of my document. When working on a different project for a completely different case, I could once again change all 10 drop down lists at once. Would it be possible to do this?

For those who don't know what "DropDown Lists" are, click here. They are, in the eyes of many, the greatest things since sliced bread! If you are not using them, you should be.

UPDATE!!!
Done. Posted. Please upgrade to P2010.5 build 23 (or later)

As you know, I love your program, but I do have an idea for your consideration in 2010:  A "Refresh All" button -- that would refresh all the DropDown Lists (all 10 of them!) with one click so we'd always have the latest/greatest forms there on each lists.  (I just got part way done creating a new form that I was 70% sure I had already made . . . and sure enough, the reason I didn't see it was I had not "refreshed" that particular sub folder . . . ack!)

All the best,

Glenn

A user recently observed that, while he understood all of the bells, whistles, switches and checkboxes presented on the various screens of Pathagoras, the intended end-users did not. They often stared at the screens they encountered to see whether or not any of the boxes needed to be checked or options selected, when all they really needed to do was click the Next button.

Another great observation from our user base. Thanks. Working on it. I don't know that I can identify every spot where a screen can be pared down to the bare essentials, but all releases after 12/18/2009 will have an "End User Settings" option. You can find it in the Utilities/Settings screen (front page).

Right now the only screen that it affects is the initial Document Assembly screen. When End User settings are checked, a the user selects a book, the user is taken directly to the Clause Selection Screen, bypassing the expanded Libraries & Settings screen.

Please let me know other places that could benefit from this new 'feature.'
